Daftari or Laundry Software: Which Does Your Shop Need?
“Mali bila daftari hupotea bila habari”: wealth without a record book disappears without a trace. The proverb is about keeping records, not about paper. The real question is which kind of record your shop can keep accurately at its current size.
What a daftari does well
A daftari is cheap, needs no power or internet, and anyone can use it on their first day. For a one-person shop with a handful of orders a day and customers who pay on collection, a well-kept book can be enough. Software will not fix a shop that does not write things down: the habit comes first.
Where paper starts to cost you
- Finding one customer's order means turning pages while they wait.
- Every total is added by hand, so a slip of the pen stays in the numbers.
- Only one person can hold the book, and it stays at the shop when you go home.
- If it is lost, wet or torn, the record of who owes you goes with it.
- A changed number leaves no sign of who changed it or when.
Side by side
| Question | Daftari | Laundry management software |
|---|---|---|
| What does it need? | A pen and a book | A phone or computer, and an internet connection |
| Who owes me right now? | Add it up from the pages | A list, kept up to date as payments are recorded |
| What did we take today? | Add by hand at closing | A report from the day's orders |
| Who recorded this payment? | Whoever's handwriting it is | The staff account that recorded it |
| Can I check from home? | Only if you take the book | Yes, wherever you can sign in |
| What if it is lost? | The record is gone | Sign in from another device |
| Learning needed | Almost none | A short time for each staff member |
Signs it is time to change
- You have staff at the counter and cannot always be there yourself.
- You have had an argument with a customer over a balance and could not prove it.
- You do not know last month's sales without an evening of adding up.
- You are thinking about growing, and need to see which services earn the money.
How to switch safely
- Set up your services and prices first, exactly as you charge today.
- Pick a start date, and enter new orders in the new system from that day.
- Keep the daftari running alongside it for a week or two, and compare totals each evening.
- Enter orders still open from the book, with what has already been paid, so balances carry over.
- Give each staff member their own sign-in from day one, and stop the daftari once totals agree.
Where Safio fits
Safio Business is laundry software built for this kind of move: walk-in orders, customer records, payments and an end-of-day report, in English and Kiswahili, with a free Starter plan and no card. It needs an internet connection, and business verification must be approved before you can take orders, so allow for that in your start date. If paper still serves you well, keep your daftari and keep it well. That is what the proverb asks for.
